BSU Alumni Association Chapter Policy

I. Purpose of Chapters

A. Boise State alumni chapters are groups of Alumni Association members, other BSU alumni and friends who work together to provide meaningful connections with BSU, support for the institution, networking and socialization opportunities for alumni and friends.

B. There are four categories of alumni chapters:

  1. Regional: Alumni who organized on a geographic basis wherever there is sufficient interest and a concentration of alumni.
  2. Academic: Alumni of academic departments or other academic organizations.
  3. Special Interest: Alumni who share a special interest or background.
  4. Corporate: Alumni who work for the same company whenever there is sufficient interest and a concentration of alumni employees.

II. Requirements to Establish a Chapter

A. Have a minimum of 12 alumni signatures from those who strongly support the establishment of a chapter on a letter of request to the Alumni Association.

B. Submit the names of a six-person leadership team, which includes a president and vice president. All members of the leadership team must be dues-paying members of the Boise State University Alumni Association.

C. Submit a tentative 12-month meeting and activity plan to include a minimum of three leadership team meetings, one chapter annual meeting, and at least one alumni chapter activity.

III. Requirements to Sustain a Chapter

The Alumni Association provides an essential framework on which chapter may build their programs.

A. Chapter Membership & Leadership

  1. Chapter 'members' shall be defined as all dues-paying Alumni Association members who actively participate in chapter activities, lives within the regional chapter's geographical boundaries, share a common academic background, share a special interest, or work for the same corporate entity. All who are non due-paying members for the Alumni Association who participate in chapter activities shall be defined as 'participants.'
  2. Members must elect officers at the first official chapter gathering and at recommended. Officers must include a) president; b) vice president; and c) secretary/treasurer.
  3. Terms of office are two years, with consecutive terms maximum.
  4. The leadership team may establish committees, if appropriate.
  5. All chapter officers must be dues-paying members of the Boise State Alumni Association. Chapter participants are encouraged to be active dues-paying members of the Alumni Association.

B. Finances

  1. Chapters may no collect dues, but may charge additional program fees to cover both the event and incidental chapter expenses such as postage.
  2. Chapters may open a checking account. The chapter secretary/treasurer must submit annual financial statement to the Alumni Association for review.
  3. An annual program plan and budget must be submitted to the Alumni Association by April 1 of each year. The plan and budget must be approved by the chapter development committee before any events or activities may be publicized.

C. Activities and Publicity

  1. Chapters are expected to sponsor diverse, high-quality programs to stimulate participation from all segments of the alumni population.
  2. Chapters should submit drafts of alumni publicity and all alumni mailings to the Alumni Association for approval and mailing.

IV. Alumni Association Relationship With Chapters

A. All alumni chapters exist under the auspices of the Boise State University Alumni Association, Inc., a 501(c) (3), public benefit, non-profit corporation, registered with the state of Idaho. This organization is the official representative of the alumni of Boise State University. The name "Boise State University Alumni Association or any derivatives thereof is for the exclusive use of the organization. Any officially chartered chapter of the Alumni Association may use the name "Alumni Chapter," and/or Alumni Association" in the conduct of official chapter business.

B. The Alumni Association supports and assists alumni chapters in the following ways:

  1. Provides chapter guidelines and general support.
  2. Acts as a chapter's primary resource in goal setting, event/activity planning, and membership development.
  3. Coordinates up two chapter marketing communication materials (postcards, invitations, etc.) per year, includes design, printing and mailing.
  4. Provides Boise State event kit for up to two chapter events per year. May include balloons, nametags, pom poms, pens, or other items as available.
  5. Allows use of the Alumni Center for chapter events and activities.
  6. Sends a university or Alumni Association representative to participate in chapter meetings and activities, when possible.

The Alumni Association will provide each chartered chapter with a chapter logo for use on all official chapter communication materials.

Chapters may request an updated list of relevant alumni records from the Alumni Association no more than one time per twelve-month period for the purpose of growing chapter interest and membership. Chapter members may not use alumni data for the purpose of promoting their own business or personal agenda.

V. Suspension/Dissolution

A. The board of directors of the Alumni Association reserves the right to suspend or rescind the charter of any chapter that no longer meets the requirements for a chapter, or does not operate within the spirit and/or letter of these guidelines, as set forth in this document.
